Privacy

This page explains what we collect, why we collect it, how long we keep it, and how to get it deleted. It is written in plain English rather than in legal language, because you should not need a lawyer to read a privacy policy.
The short version. We do not use cookies. We do not use Google Analytics or any other third-party tracker. We never store your IP address. The only personal information we hold is what you type into one of the two forms yourself (your name, your work email, your agency, your role, and the process you want fixed), and we use it to reply to you, and to send the one-pager if that is what you asked for.
Who we are

We are not a law firm and we do not give legal advice. We plan, build, switch on and look after software.
What we collect
1. The "write to us instead" form
If you tell us about a process, we store what you actually typed:

Please do not send us more than you need to. In particular, do not put any client's or service user's personal details into this form: no names, no NRIC numbers, no case notes, no medical information. We do not need any of it to talk about a process, and this form is not a safe place to put it.
2. The one-pager form
If you ask for the one-pager we store your work email address, and your agency if you filled that in. We use the address to send you the one-pager and to reply if you write back. It does not subscribe you to anything, because there is nothing to subscribe to: we run no mailing list.
3. When you book a time
The booking panel on our page is a Microsoft Bookings page: Microsoft's page, served from Microsoft's servers, shown inside ours. It loads when our booking section loads, not when you click, so from that moment Microsoft receives your IP address and your browser type, as any web request does, and whether or not you go on to book.
That calendar belongs to AdminLess as a company, not to this site: it is one booking business shared by three of our sites. So what it asks for, what Microsoft does with it and what happens after you book are set out once, in the company policy at www.adminless.ai/privacy.html, which is also the policy the booking page itself points at. Three near-identical descriptions of the same calendar would only drift apart.
If you would rather Microsoft were not involved at all, do not use the booking panel. Email hello@adminless.ai and we will agree a time by email instead. (That email still sits in a Microsoft 365 mailbox at our end; what you avoid is the request from your browser to Microsoft.)
4. When you simply read the page
We count visits, so we know whether the page works and which part of it people stop reading. This is our own software, running on our own server. It records:
- which page you landed on, and which site sent you (for example a search engine or a link), plus any campaign tag in the link;
- whether you are on a phone, a tablet or a computer;
- which sections of the page you reached, and roughly how long each one held your attention;
- which buttons and links were clicked;
- the country your visit came from, as reported by our network provider.
How we count people without identifying them. To tell one visit from another we need some sort of label. Instead of a cookie, we take your IP address and browser type, mix them with today's date and a secret key, and run the result through a one-way cryptographic function. That produces a short code.
Two things follow from this, and they are the entire design. First, your IP address is used for that one calculation and then discarded: it is never written to our records. Second, because today's date goes into the calculation, the same person visiting tomorrow produces a completely unrelated code. So we can answer "how many people came today", and we genuinely cannot follow you from one day to the next, build a profile of you, or work backwards from the code to you.
That is also why we do not need to ask your permission for a cookie: there is no cookie, nothing is stored on your device, and there is no identifier that survives the day.
What we do not do
- We do not sell, rent or trade your personal data. Ever.
- We do not use cookies, local storage, session storage, browser fingerprinting, or session recording.
- We do not use Google Analytics, Meta pixels, or any other third-party analytics or advertising tracker.
- We do not use what you tell us to train a machine-learning model.
- We do not take payment on this site, so we hold no card details.
- We do not send you marketing you did not ask for, and we run no mailing list.
Who else can see it
The page and the data behind it run on our own server. We keep the list of outside parties as short as we can, and today it is:
- Cloudflare, which carries the connection between your browser and our server and protects it from attack. Your request necessarily passes through them, and they are the source of the country figure mentioned above.
- Microsoft, because our own email runs on Microsoft 365 and our booking calendar is Microsoft Bookings. A form submission is emailed to us there (to hello@adminless.ai and nowhere else, because the application that sends that mail is restricted by policy to that one mailbox), and a booking is made there.
We will update this list if it changes. Both are service providers acting on our instructions, not parties we share your data with for their own purposes.
Where it is kept, and for how long
Your data is stored on a server in Singapore.
- What you submit through either form: kept while we are dealing with your enquiry, and for up to 12 months afterwards so we can pick the thread back up if you return. After that it is deleted. If you ask us to delete it sooner, we will.
- The counting data: kept for up to 24 months as aggregate figures. It contains no identifier that lasts beyond the day it was recorded, so it cannot be traced back to you even by us.
Your rights under the PDPA
Under Singapore's Personal Data Protection Act you may:
- ask what we hold about you, and we will tell you;
- ask us to correct it if it is wrong;
- ask us to delete it, and we will, unless we are required to keep it;
- withdraw your consent at any time, though if you withdraw it we will not be able to carry on the conversation.
Write to hello@adminless.ai and we will reply within one working day, and act on it within 30 days.
Your agency's own data, if we build for you
This policy is about this website. If we go on to build or run software for your agency, what happens to your agency's data is set out in the written agreement for that work (not here), and it is agreed with you before anything is built.
Children
This site is for the people who run and fund services, not for the people who use them. We do not knowingly collect data from anyone under 13.
Security
The connection to this site is a locked connection. Access to the stored data is limited to the people at AdminLess who need it to answer you. We do not store card details, because this site does not take payment.
Changes
If we change this policy we will change the date at the top. If the change is significant and we hold your email address because you contacted us, we will tell you.
